How to start using AI in a small business
Start with a workflow, not a tool. A practical way to test AI with real tasks, clear ownership, reliable data and human review.
Start with the work, not the tool
Pick a task your team repeats: copying data, looking for information or chasing the next step. Watch how people do it now before deciding where AI belongs.
In a shop, that might be entering an order into the management system. In a restaurant, it could be following up on reservations. In wholesale, it might be checking stock against orders. These are workflows to examine, not one-size-fits-all solutions.
- Where does the information arrive?
- Who enters it again or has to find it?
- Who checks the result and handles exceptions?
Match the solution to the problem
Not every task needs AI. The work itself points to the right kind of tool:
- Repeated steps with clear rules: start with automation.
- Documents or messages that need reading and summarising: AI can prepare a draft for a person to check.
- Information spread across tools, people and approvals: you may need an integration or a custom system.
Test real cases with a clear owner
Put one person in charge of the test and use real tasks. Record how long they take today, common mistakes and what happens when something falls outside the usual path. Then compare the new process with the old one.
Agree who can approve, correct or stop an automated step. If the team does not know what to do when it fails, it is not ready for everyday use.
A prototype is not yet a working system
An AI-built screen can help test an idea. Team use also needs decisions about where data lives, who has access, how existing tools connect and how failures are spotted.
That is where backend work, integrations, testing with users and maintenance matter. The aim is to make people more capable while keeping them in control.
Questions worth asking
Will AI replace the team?
At its current stage, I see it as support for people's work. The value comes when a team has more time, better information and clearer decisions.
Do we need to start with a chatbot?
No. Start with the task that takes time or causes mistakes. The answer might be simple automation, an AI tool or a connection between systems.
How do we know a test worked?
Compare the same task before and after: time spent, mistakes, delays and review work. Ask the people who do it every day, too.
Have a workflow in mind?
Tell me how it works today. We can find a sensible first step to test.
